Role Description The Billing Coordinator II will play a pivotal role in providing billing support services to APAC countries and multiple entities by processing client invoices and credit notes with supporting documents accurately within tight deadlines. This role requires enthusiasm for service delivery in a shared services environment, providing practical and effective assistance to our clients in the billing workstream space to ensure all statutory compliance requirements are completely met. We aim to provide value-added services and solutions that are flexible and tailored to the circumstances and needs of our clients. Principle Accountabilities: Process invoices and credit notes efficiently, promptly, and accurately by the frequency and deadlines specified in client contracts and requirements (e.g., submission of invoices to client portals and supporting documentation). Review client agreements, terms, and conditions to process all billings to clients and intercompany transactions accurately, ensuring completeness and safeguarding client data. Familiarity with Output and Withholding tax (e.g., GST, VAT, and SST, etc.) requirements and invoicing regulatory changes in APAC countries (e.g., invoice currency conversion requirements). Compile and verify supporting documentation against signed contracts with clients to ensure all requirements have been met for submission purposes. Ensure compliance with relevant operating procedures, country rules and regulations, while maintaining stipulated service standards. Liaise with payroll counterparts to ensure all relevant information has been captured and saved in Tempest/Sharepoint and maintained in line with auditing requirements. Resolve and respond promptly to billing inquiries and discrepancies from clients and partners. Collaborate closely with Service Teams and other cross-functional teams on client billing-related issues, including contractor payroll, benefits, expenses, recharges, and intercompany transactions. Collaborate closely with Treasury for funding requirements with banks and Credit Control on collection from clients to reduce DSO and improve liquidity. Ensure entries and data in the billing system (Tempest or other) accurately interface with the Accounting system (D365). Collaborate closely with the Reporting team on month-end closing activities, billing and output tax discrepancies/reconciliations, accounting standards, and monthly/quarterly/annual financial reporting requirements. Prepare and maintain client files and monthly governance reports by client, currency, and country. Ensure compliance with company procedures and country regulations. Perform ad-hoc tasks and undertake projects as assigned. Skills, Knowledge, and Experience: Diploma or Degree with 3+ years of experience in client invoicing and billing in an international environment. Experience with multiple countries, entities, and currencies. Previous exposure to Output and Withholding taxes and liaising with government agencies. Excellent written and verbal communication skills, including the ability to interact effectively with all levels throughout the organisation. Knowledge of billing and accounting systems; Tempest and D365 is an advantage. Attention to detail with analytical and problem-solving capabilities. Ability to handle highly sensitive data and work with large data sets while adhering to tight deadlines. Strong organisational, oral, and written communication skills. Passion for providing outstanding customer service. Proficiency in all Microsoft applications (Word, Excel & PowerPoint). What we can offer you!
